We take your privacy and the safety of your data very seriously. This policy explains what
we collect, why we collect it, what we do with it, and the rights you have over it. It applies
to visitors to technovore.co.uk, anyone who contacts us, and our clients.


1. Who we are #

TECHNOVORE is a web development and maintenance business, owned and run by Rob Wick.
Our website address is https://technovore.co.uk.

We are the “controller” of the personal data described in this policy. If you need to discuss
anything in this policy, email rob@technovore.co.uk with the subject “Privacy Enquiry”.

2. What personal data we collect, why, and on what basis #

We only collect data that we need. The table below sets out what we collect, why, and the
lawful basis (under UK GDPR and the Data Protection Act 2018) for each use.

2.1 Visitors — comments #

Data: Name, email address, website (if provided), IP address, browser user-agent string.
Why: To display your comment and protect the site from spam. An anonymised hash of your
email may be sent to the Gravatar service to check whether you use it; if you do, your profile
picture is shown beside your comment (Gravatar is part of Automattic — see
https://automattic.com/privacy/).
Basis: Consent (you choose to comment) / legitimate interest (spam protection).

2.2 Contact forms #

Data: Your name, email address and the message you send.
Why: To deal with your enquiry.
How long: Only as long as needed to deal with your request. It is not used for marketing
unless you explicitly opt in on the form.
Basis: Legitimate interest / pre-contract steps.

2.3 Email #

Data: Your email address and the contents of your communications.
Why: To respond to you and, where a business arrangement follows, to perform the contract
and meet our legal obligations (for example financial and tax records).
How long: For the duration of the enquiry or business arrangement, and afterwards only for
as long as the law requires (see section 5).
Basis: Legitimate interest / contract / legal obligation.

2.4 Enquiries, quotes and client data #

Data: Business contact details, billing details, domain and hosting information, and any
information you give us about your website or project.
Why: To prepare quotes, provide web development and maintenance services, invoice you, and
manage your account.
Basis: Contract / legal obligation (tax records) / legitimate interest.

2.5 Cookies and analytics #

Data: See our cookie preferences on first visit. If you consent, we use Google Analytics
to understand how the site is used (IP address, cookies, device identifiers, pages visited).
Why: To measure site performance and improve the site.
Basis: Consent (you choose to allow non-essential cookies; if you select “Nope” on our
cookie notice, non-functional third-party cookies are refused).
Cookie types: Strictly necessary cookies (session, functionality, remember-me) and, with
consent, analytics and any non-essential third-party cookies. Details of each cookie can be
requested from rob@technovore.co.uk.

2.6 Embedded content #

Data: Articles on this site may embed content from other websites (videos, images, articles).
Embedded content behaves as if you had visited the other website — it may collect data about
you, use cookies and track your interaction, including if you are logged in there.
Basis: The third party’s own policies apply; see the respective provider.

2.7 AI-assisted service delivery (clients) #

Data: In delivering our services we may use AI tooling (including our own automation and
image-analysis tools) to process client data — for example analysis of product images, site
maintenance automation and monitoring.
Why: To provide maintenance, monitoring and related services efficiently.
Our commitments:
– Client data is not used to train any public model.
– Processing happens within our own infrastructure where possible.
– Material AI-assisted decisions affecting your site or data are reviewed by a human (Rob Wick)
before they take effect.
Basis: Contract / legitimate interest.

3. Who we share your data with #

In running our business we may share data with the following processors. We share only what is
necessary, transmit it securely, and keep it within the UK/EEA wherever possible. Each processor
has been reviewed and is compliant (or has a compliant roadmap) with UK data protection law:

  • Google (calendar, analytics, docs, sheets, gmail) — google.com
  • Krystal Hosting (our web hosting provider — servers in the UK/EU) — krystal.uk
  • WordPress / Automattic (this website, plugins, spam protection) — technovore.co.uk
  • PayPal — paypal.com
  • GoCardless — gocardless.com
  • Stripe — stripe.com/gb
  • Eventbrite — eventbrite.co.uk
  • Xero (accounting) — xero.com/uk
  • iZettle / Zettle — zettle.com
  • IFTTT / Zapier (automation) — ifttt.com / zapier.com
  • Mailchimp (marketing email, only with consent) — mailchimp.com
  • Google reCAPTCHA (form spam protection) — google.com

Third-party links: Our site links to partner sites. We are not responsible for their
privacy practices — please check their policies.

4. International transfers #

Your data is stored and processed in the UK and, where our processors operate internationally
(e.g. Google, Automattic, Mailchimp), may be transferred outside the UK. Where this happens we
rely on the processor’s compliance with UK data protection law, including UK-approved adequacy
decisions or standard contractual clauses. We keep transfers to the minimum needed to provide
the service.

5. How long we keep your data #

  • Comments: retained indefinitely (so follow-up comments can be auto-approved).
  • Registered users: profile information kept until you request deletion. You can see, edit
    or delete your personal information at any time (except your username). Administrators can
    also see and edit it.
  • Enquiries: until the enquiry is closed.
  • Client records, invoices and contracts: retained for the duration of the engagement and
    thereafter for as long as required by law (HMRC tax records: minimum 6 years).
  • Analytics: aggregated, per Google Analytics default retention; identifiable analytics
    data is not kept longer than necessary.

6. Your rights #

Under UK GDPR you have the right to:

  • Access the personal data we hold about you (a copy, free of charge).
  • Rectification — correct anything that is wrong.
  • Erasure — ask us to delete your data (subject to legal obligations to keep records).
  • Restriction — limit how we process your data in certain circumstances.
  • Data portability — receive your data in a structured, machine-readable format.
  • Object — object to processing based on legitimate interest, including direct marketing.
  • Withdraw consent at any time where processing is based on consent.
  • Complain to the ICO — the Information Commissioner’s Office is the UK supervisory
    authority: ico.org.uk · 0303 123 1113.

To exercise any of these rights, email rob@technovore.co.uk with the subject “Privacy
Enquiry” and an outline of your request. We will respond as soon as reasonably practical and
within one month in any event.

7. How we protect your data #

  • Secure passwords and two-factor authentication where available.
  • Written or printed data secured by lock and key.
  • Servers located in the UK/EU.
  • Access to client systems is restricted to what is needed to provide the service.

8. Data breach procedures #

In the event of a data breach affecting your data:

  • We will notify affected users by email as soon as practicable.
  • We will send a follow-up one week later with any further detail.
  • If the breach is significant, we will notify the ICO within 72 hours as required by law and
    keep affected users informed.

Details of how our processor partners handle breaches are available from their own policies
(listed in section 3).

9. Changes to this policy #

We may update this policy from time to time. Significant changes will be highlighted on the
site. The current version is always available at https://technovore.co.uk/our-privacy-policy/.
